Logistics Procedures

Logistics Event Flow:


This page will cover all on-site logistics information for ACO events. Please read before attending an event to make sure you have an easy time getting checked in without experiencing any frustration!

Prior to the event, the location of logistics check-in will be announced on Discord. On Friday prior to lay- on, Logistics personnel will announce when Logistics is open; this will generally be around 6-7pm until opening announcements on Friday night. Secondary Logistics times will be given during opening announcements. If you arrive after Opening Announcements, Logistics MAY choose to remain open during soft lay-on at their personal discretion. After Logistics closes, all new arrivals should report to NPC Camp for checkin.


Required Kit for Check in:

The following items are mandatory for check-in. Please do not come to the logistics office without them or you WILL be turned back.

  • NPCs: All blacks as if on NPC shift. 

  • Player Characters NPCing Friday night: Players with a Friday NPC shift may wear all blacks as if on NPC shift, but must still bring props needing evaluation and all magic items. Please note that if your armor has not been evaluated and you do not get it evaluated Friday night, it is not eligible for use until scored by a Marshal.

  • Player Characters: Full Kit is required. Any new additions should be immediately brought to Logistics attention (added armor for armor reevaluation, weapon checks, MI Tags etc)

Opening Logistics Staff (Claire, Soren, or Jen) will call next for the next person in line and only one person may enter logistics unless accompanying a new player, new NPC, or minor. This is to prevent crowding as well as to protect player privacy with respect to sensitive tags, character skills and other similar circumstances.

Upon entering the person checking in will give Logistics their Player Name that they are registered under in the CMA, not their character's name. Again, any Player Character will be required to wear full kit unless NPCing Friday night AND ALL Players must have all CMA registered items; this includes both physical representations and tags.

Logistics will then:

  1. Mark the person checked in on the Check-in Spreadsheet

    • After this step, NPCs will be directed to NPC Camp to get settled in. PCs, please read on!

  2. Collect any crafting materials/gold spent during check-in as noted on their packet

  3. Hand the Player their Character Packet

    • Inside the Character Packet will be all Logistics Periods (usually 2) worth of crafting, goblin stamp, dragon stamp, and/or currency or crafting materials purchases

  4. Perform/assess any Weapon/Armor Evaluations or Reevaluations and Character costuming requirements

  5. Inspect all Registered Tagged Magic Items and mark the Registered Magic Items (1,2) off the printed list. If a Magic Item is not registered it will not be permitted to be used at the event.

  6. The PC is required to check their packet at Logistics to ensure everything is in order. If the PC decides not to check their packet and leaves Check-In, Logistics will not be responsible for any missing items.

  7. Discuss any questions or concerns Logistics or the PC/NPC may have (3)


Notes:

  1. Magic Item Tags will have a list of the Rituals present on the item, as well their duration and charges, and the Magic Item number. The corresponding item will have that same number permanently marked on it, through etching or some other means. Any item marked this way requires Identification in a Celestial aspected Greater Circle of Power before they can be used. Once identified, the Magic Item Tag will be given to the player. If your weapon is a Magic Item, you do not need to affix the Magic Item Tag to the physrep, but the physrep must be permanently marked with the Magic Item number present on the Magic Item Tag, and the player must carry the Magic Item Tag.

  2. Logistics will have sharpie pens, small tags, and a label maker to assist with marking Magic Items with the appropriate Item Number.

  3. Though we at Logistics are excited to see everyone, please understand that this is not the time to linger, hangout, or chat while in Logistics. Logistics needs to flow smoothly so we can process the amount of people checking in efficiently and effectively. Thank you for your cooperation.
